The Executive Assistant at PMIQ will be at the heart of our organisation's operations, providing crucial support to ensure the smooth running of day-to-day activities. The responsibilities will include managing schedules, coordinating meetings and events, and handling communications, all with a keen attention to detail and professionalism. They will act as liaisons, representing the executives in interactions with board members, volunteers, and the executive team, maintaining professionalism and confidentiality at all times.

Key duties and responsibilities of the Executive Assistant will include:

  • Manage calendars, schedule meetings, and coordinate appointments for the CEO and COO.
  • Organise and prepare for meetings, including taking down minutes and actions of meetings and following up on actions.
  • Handle confidential correspondence and assist the CEO with preparation for Board meetings, including taking down minutes and actions and then following up on actions.
  • Act as a liaison between the executive team and internal/external stakeholders, representing the executives professionally.
  • Support strategic initiatives and special projects led by the CEO, contributing to achieving organisational goals.
  • Assist the Board of Directors from time to time with administrative tasks.
  • Draft, review, and send communications on behalf of company executive(s)

The experience required are:

  1. Understanding of executive administration and organisational processes
  2. Knowledge of project management principles
  3. Familiarity with industry trends
