Key Responsibilities

• Develop event concepts, themes, and objectives in collaboration with the leadership team and stakeholders.

• Create detailed event plans, timelines, and budgets to guide the planning and execution process.

• Coordinate logistics for events, including venue selection, catering, entertainment, audiovisual equipment, signage, and transportation.

• Secure necessary permits, licenses, insurance, and other legal requirements for events as needed.

• Identify and secure vendors, contractors, and suppliers for event-related services and products.

• Cultivate relationships with sponsors, donors, and corporate partners to secure sponsorships, donations, and in-kind contributions for events.

• Collaborate with sponsors and partners to fulfill sponsorship agreements, promote their involvement, and maximize their visibility at events.

• Develop and implement marketing and promotional strategies to generate interest and attendance for events.

• Create event marketing materials, including invitations, flyers, posters, and digital assets, to promote events through various channels.

• Utilise social media, email marketing, press releases, and other communication tools to reach target audiences and drive event participation.

• Coordinate registration and ticketing processes for events, ensuring a smooth and seamless experience for participants.

• Provide excellent customer service to event attendees, volunteers, and vendors, addressing inquiries and resolving issues as needed.

• Plan and coordinate event activities, entertainment, and interactive elements to enhance participant engagement and enjoyment.

• Collect feedback from participants, volunteers, and stakeholders to identify strengths, areas for improvement, and lessons learned.

Qualifications

• Previous experience in event planning, coordination, or management, preferably within the nonprofit sector. (prefered but not necessary)

• Strong organisational and project management skills, with the ability to multitask and prioritise effectively.

• Excellent communication and interpersonal skills, with the ability to collaborate with diverse stakeholders.

• Creative thinking and problem-solving abilities to overcome challenges and create memorable event experiences.

• Proficiency in event management software, project management tools, and Microsoft Office suite.
