Vic ICT for Women is a volunteer led, not-for-profit organisation that’s passionate about increasing the entry, retention, and progression of women in STEM industries. Despite ongoing efforts to address gender diversity in the STEM industries, the sector has a long way to go. That's why we're committed to expanding our initiatives & programs, providing crucial support at every stage of their career - from school age, right through to senior leadership

To achieve this, we need volunteers who can join our incredible network of existing volunteers and contribute their time to our cause. We are now on the hunt for some help to lead the Events team for our Mentoring program, mentor(SHE:).

Vic ICT for Women's mentor(SHE:) program supports the retention of women working in the tech sector. We want to create an accessible one on one environment to help facilitate professional development, build confidence and courage, and provide direct industry networking opportunities.

The role

This role is a crucial part of our mentoring volunteer team. Reporting into the mentor(SHE:) Program & Deputy Program Leads, the Events Lead is responsible for the overall management of our events within our annual program. This is a fantastic opportunity for someone with comprehensive in-person and virtual event management experience.

Responsibilities include:

  • Manage the end-to-end event logistics through the year, in collaboration with a few direct reports. This includes liaising with speakers, venues and sponsors
    • Average 6 events per year, including a program kick off, and event of year celebration
  • Liaise closely with the Program & Deputy Program Leads and Marketing Lead to;
    • Secure annual event budgeting
    • Ensure alignment to the program strategy goals
    • Consult and advise on event plans and concepts
    • Ensure consistency of branding and communications across event marketing campaigns
  • Own and manage the program’s events schedule for the year, ensuring appropriate coordination with wider VICT4.W organisational events
  • Be the point of contact for all program events
  • Implement new tools to better engage our audiences
  • Provide monthly reporting and analysis on event activities and attendance numbers
  • Champion event internal communications

Who are we looking for?

  • An expert in event management
  • An exceptional communicator with extensive stakeholder management skills
  • A passion for good engagement techniques
  • An eye for detail
  • Strong understanding of Zoom and Teams. Added bonus if you’re comfortable with GoogleMeet too
  • Experience in Slack would be an advantage but not essential
  • Team collaboration and ability to lead teams
  • A ‘hands on the tools’ approach
  • A passion for equality and improving the gap of gender diversity

What is the commitment?

  • Approximately 4-6 hours per week.
  • Required to complete fortnightly tasks and attend a once-a-fortnight team meeting.
  • Flexible with time as the team often works after hours, spread across the week.
  • The workload may fluctuate depending on program deliverables, with certain times being busier than others.
  • We are a fully supportive team that helps step in when work and life commitments come up.
