The Boroondara Volunteer Resource Centre is advertising this role on behalf of Special Olympics Melbourne Inner East.

KEY RESPONSIBILITIES: Record Keeping

  • Ensure athlete and volunteer membership and checks (medicals, WWC checks, coach accreditation) are in place and current prior to participation in programs.
  • Liaise with the Club Membership Officer on any outstanding items and work with them to ensure all members are compliant before attending training
  • Manage athlete program term registrations and payments (via online system), including follow-ups on any outstanding payments.
  • Update and maintain official athlete attendance records at training, interclub and state games.

  Fortnightly Training Program

  • Work with the Head Coach and Veneto Club to set training and Bocce Program season calendar and online registration forms.
  • Send/communicate the Bocce program season calendar and registration process to members.
  • Be the point of contact for new athletes or volunteers wishing to join the program and welcoming them to the program.
  • Remind participants via email and the Bocce WhatsApp group of when training is on
  • Attend fortnightly training sessions and capture attendance for athletes and volunteers in the attendance worksheet (Excel) on MIE’s SharePoint site. If unable to attend, ensure delegation of this responsibility to another registered volunteer.

  Club-Hosted Interclub Games

  • Carry out all planning and administrative tasks listed in the 2024 Regional Checklist Document to organise club-hosted Bocce games once per year, with the support of the State Bocce Manager.
  • Attend the games as ‘Team Manager’. If you cannot attend the games, identify and secure an alternate Team Manager as a substitute.
  • Provide Club Treasurer and Chair with list of entries by club for entry reconciliation

  Interclub Games Hosted by Other Clubs (approximately 4 per year)

  • Distribute games information to all club Bocce athletes.
  • Work with the Club Sports Coordinator and/or Administrator to establish online athlete entry payment form, if required (some host clubs and State will do this themselves).
  • Discuss the games with the MIE coaches and volunteers and secure at least 2 volunteer officials (or 2 for every 4 athletes) to attend the games.
  • Complete the ‘Entry Form’ with MIE participating athletes and volunteers, membership numbers, divisioning scores and submit to the relevant club as per their directions.

  State Games

  • See tasks required for interclub games above.
  • Ensure all athletes entering State Games have attended at least 2 interclub or intraclub games and attending training regularly, in the 12 months leading up to State Games. This is required for them to be eligible to enter the games.
  • Request attendance of coaches at the State Games
  • Attend State Games as ‘Team Manager’, and if you cannot attend the, identify and secure an alternate Team Manager as a substitute.

  General

  • Administrate and moderate the MIE Bocce WhatsApp group.
  • Inform the Club Sports Coordinator of any requirements for additional volunteers, equipment or venue needs.
  • Update the Club Sports Coordinator regularly (minimum monthly) on Bocce program activities and escalate any issues that need support or decisions.
  • Problem-solve issues that may arise with members or their family members/carers
  • There is an annual thank you dinner for all Committee, Sports Coordinators and Sub-committee team members in early December. You are invited to attend this dinner.
  • Purchase year-end gifts for Bocce volunteers

  SKILLS & EXPERIENCE:

  • Experience and understanding of Bocce and recreational sports program development.
  • Strong verbal communication and leadership skills
  • Excellent organisational skills
  • Reliable, able to work independently and show initiative.
  • Passionate, dedicated, committed and enthusiastic.
  • End-user experience and aptitude with Microsoft Office - particularly, Excel, Word, SharePoint/OneDrive and Teams.
  • Computer literate and with capability to maintain accurate records. Must have own computer.
