Project Yumi is an Australian registered charity that builds effective partnerships with local communities in Papua New Guinea, to enhance the quality of education and health care. We achieve this through deferring quality used school furniture and health equipment from landfill and send it to rural areas of PNG.

We are currently seeking an experienced Secretary to join our management committee ($50 annual membership fee) who will be responsible for the documentation and communication of the activities of the Committee. The secretary is the primary administration officer of the Committee and provides the links between the Committee, members and outside agencies. The Secretary should be a good communicator, maintain confidentiality on relevant matters and have the ability to delegate tasks and supervise others.

Tasks and Responsibilities

  • Completing agendas and minutes
  • Coordinating all administrative tasks of the management committee
  • Organising meetings and booking meeting rooms
  • Recording and storing minutes of meetings
  • Send out calendar reminders to all members regarding meetings
  • Keeping up-to-date records and administration
  • Keeping up-to-date electronic records
  • Keeping a record of the organisation's activities
  • Keeping a diary of future activities
  • Sending out quarterly organisation electronic newsletters
  • All records must be maintained with Office of Fair Trading
  • Ensuring all organisation paperwork is up to date
  • Ensuring organisation insurance is in order
  • Keep and present when required the organisations common seal
  • Responding to, and filing, all board correspondence
  • Keeping an archive of all the organisation's publications
  • Keeping stakeholders informed of the activities and future programs of the organisation, including members, sponsors, the press and the public
  • Looking after the organisation's constitution and other company documents
  • Monitoring company law requirements and the organisation complies with them
  • Make Office of Fair Trading and ACNC aware of any administrative changes.
